Outpatient
At outpatient clinicspatients to be registered only with appointments or follow up visits to seek treatment and minor surgery for physical illnesses, and injuries for daily visits.
Outpatient clinics comprise following counters:
OPD counter
Medical records staff opens patient file for transferred patient and then open the visit, and patients who have file in the hospital, staff open the visit.
Medical record staff register the patient according to the booked time for the appointment and allows him/her to come early or late for an hour from the appointment time.
After opening the visit, to direct the patient to the respective clinic. As for non-Omani, after opening the file, they are sent to the accounting department for payment, and then to open the visit.
Notes
Medical record staff requests and verifies the following:
Personal information with civil number
Referral Letter for transferred patients
Date and time of the appointment
Payment fees if any
ER counter
Health check-up for emergency patient by nursing section.
After the examination and confirmation, medical records staff opens the visit, if the patient does not have a file at the Royal Hospital, the staff opens medical files and then the visit.
For non-Omanis, open the file and then send the patient to the accounting department to complete the procedures
If non-Omani patient residence card is not available, medical records staff open the visit and inform the public relations department.
Daycare counter
Coordinate for the appointments and communicate with patients, then open a visit for the booked appointment.
Radio counter
Medical record staff open the visit of x-ray appointments for transferred patient from clinics or patient who have an appointment for x-ray.
To book x-ray appointments as requested by the doctor, while giving the patient the necessary instructions before attending the scheduled appointment.
NOC, NDEC, Genetic Center, NHC
Open the visit for patients.
Responding to transfers and giving appointments.
Contact respective patients to confirm booked appointment.
Change appointments when necessary.
Submitting a request for medical report in the Shifa system as requested by the patient.
Patient requests through WhatsApp
Checking and follow up the messages arrived via WhatsApp.
Responding to patients' inquiries and rescheduling appointments via WhatsApp 90669066.
Inpatient
Inpatient care generally refers to any medical service that requires admission into a hospital. Also covers coding for respective diseases and diagnosis.
Inpatients comprise of following sections:
Coding
Patient health file analysis
Identify deficiencies in the file
Encoding diseases into letters and numbers for easy review by the statistics department
Review and verify the diagnosis by laboratory, medication, or radiology
Defining and reviewing processes, procedures, and desired outcomes
Admission and missed appointment counters
Admitted patient
Medical record staff inform the ward team about patient attendance to book the bed and subsequently to register the patient as per the booked appointment.
In case lack of bed, to contact bed manager.
To admit the patient as per the appointment for the confirmed patient.
E-referral patient
Accept referral patient that is not reached through system (i.e. manually) to book new appointment as agreed by the doctor.
